Privacy Policy
eFilingAPI.com · Effective October 1, 2026
This policy explains how eFiling API LLC handles account, filing, document, payment, API, support, and technical information. eFiling API is a recording and workflow service, not a law firm.
1. Who we are
eFiling API LLC is a Wyoming limited liability company operating eFilingAPI.com and related document-preparation, submission, recording-coordination, tracking, API, and workflow services. Contact us at [email protected].
2. Information we collect
- Account and contact information. Names, business details, email addresses, phone numbers, login information, roles, and support communications.
- Filing information. Party names, property information, legal descriptions, document types, instructions, signatures, notarization records, status, and correspondence with recording offices or vendors.
- Documents and attachments. Files you upload or authorize us to generate, transmit, store, or retrieve, including executed instruments and cover pages.
- Payment and tax information. Billing contact details, transaction records, amounts, tax details, and limited payment information supplied by our processor. We do not store full payment-card numbers.
- API and technical information. API keys, request metadata, IP address or network data, logs, rate-limit information, security events, and device or browser data.
- Operational records. Confirmations, recording receipts, error reports, audit logs, quality checks, and customer-service records.
3. How we use information
- Prepare, review for recordability, execute, submit, record, track, and report filings.
- Coordinate with customers, signers, notaries, e-recording vendors, couriers, recording offices, and integration partners.
- Operate accounts, API access, billing, taxes, refunds, and customer support.
- Maintain audit records, prevent fraud, secure the service, debug issues, and improve workflow quality.
- Comply with law, respond to legal process, enforce our Terms, and protect rights, property, and safety.
4. Filing documents and sensitive information
Filing records may contain personal, property, financial, or legally sensitive information. You are responsible for ensuring you have authority to submit the information and for limiting what you upload to what is reasonably necessary. We use access controls and service-provider safeguards designed for business records, but no system is perfectly secure. Maintain independent copies of source documents and records you cannot risk losing.
5. Legal bases and business processing
Where law requires a legal basis, we process information to perform a contract, comply with legal obligations, pursue legitimate interests in operating and securing the service, protect vital interests, or based on consent where applicable. Business customers are responsible for providing required notices and obtaining permissions from their signers, owners, employees, and customers.
6. When we share information
We may share information with payment processors, e-recording vendors, couriers, notaries, identity or fraud-prevention providers, hosting and software providers, professional advisers, government recording offices, and integration partners as needed to provide the service, comply with law, or protect rights and safety. We may disclose information in a merger, acquisition, financing, reorganization, or sale of assets. We do not sell personal information.
7. Retention
We retain filing, account, transaction, API, and audit records for as long as reasonably needed to provide the service, document recordings, resolve disputes, prevent fraud, maintain business and tax records, and meet legal requirements. Retention periods vary by record type, jurisdiction, customer agreement, and legal obligation. Some recording offices and third parties maintain their own records.
8. Your choices and rights
Depending on your location and our role, you may request access, correction, deletion, restriction, portability, or an objection to certain processing, and may withdraw consent where consent is the basis. Send requests to [email protected]. We may verify identity and authority, and we may retain information where law, recording requirements, business records, fraud prevention, or another party’s rights require it. Business customers should route individual requests to the appropriate account administrator.
9. Cookies and local storage
We use limited first-party storage for sign-in, session security, preferences, fraud prevention, and administration. Payment and third-party services may use their own cookies. See the Cookie Policy.
10. Security
We use administrative, technical, and organizational safeguards, including access controls, logging, encryption in transit where appropriate, and vendor review. No transmission, system, or storage method is perfectly secure. Protect API keys and credentials, use authorized devices, and contact us promptly about suspected unauthorized access.
11. International processing
Information may be processed in countries other than your own. Where required, we use contractual or other safeguards for cross-border transfers. Some government recording systems and third-party providers may impose different retention and access rules.
12. Children
The service is intended for business and adult use and is not directed to children. We do not knowingly collect personal information from children. Contact us if you believe a child has provided information.
13. Changes and contact
We may update this policy as the service or law changes. The effective date above shows the current version. Questions may be sent to [email protected].
Additional privacy rights and disclosures
- No sale or behavioral advertising. We do not sell personal information or share it for cross-site behavioral advertising.
- Requests. Depending on location, you may request access, correction, deletion, portability, restriction, or objection, and withdraw consent. Business customers may need to route requests to the account administrator.
- Authorized agents and appeals. You may use an authorized agent where law permits. If a request is denied and law provides an appeal right, you may appeal. We do not retaliate for exercising privacy rights.
- Verification and exceptions. We may verify a request and may deny or limit it where law, recording requirements, security, fraud prevention, legal claims, or another person's rights require.
- Automated processing. We use automation and AI for recordability checks and workflow support, but do not make solely automated decisions with legal or similarly significant effects without human involvement or another lawful basis.
- Business transfers. Information may transfer in a merger, financing, reorganization, bankruptcy, or sale of assets, subject to this policy and law.
- Aggregated and de-identified data. We may use aggregated or de-identified information for research, analytics, security, and improvement.
